An hour of quoting, reduced to two minutes.
A European textile manufacturer whose sales team quoted in spreadsheets. We redesigned the commercial process and built the platform that now runs it, from the customer’s email to the order in the ERP.
The companyA European manufacturer of table, bed and bath linen for hotels, restaurants and hospitality groups, with a smaller line for the home. Most of what it sells is made to order: each product combines a model, a fabric, a colour, a make-up and optional finishings, priced by size and volume. It sells through a field sales network organised by territory, a team for large accounts and a back office that runs the catalogue, the price lists and the orders.
How it workedA quote started with a customer email or a visit. The rep looked up each price in the price list, built the quote in a spreadsheet and sent it as a PDF. Any price outside the list went to a manager by email and could wait one or two days. When the customer accepted, the back office typed the order into the ERP line by line. The history of each account sat in individual inboxes and in the ERP, so management had no shared view of what had been quoted, to whom and at what price.
What was built
One platform between the sales team, the ERP and the customer.
The path of a quote today, from the customer’s email to the order in the ERP.

Inside the platform
The screens the sales team works in every day.
CONFIDENTIALCustomer and employee names masked

- A full line in seconds instead of a spreadsheet and a PDF
- Only valid combinations: each choice limits the next, so a line cannot mix options that do not belong together
- Price, cost and margin calculated as the line is built; off-list prices go to approval from the same screen
- An accepted quote becomes an ERP order with nothing typed twice

- Order history and 12-month volume read from the ERP every day
- Follow-up emails drafted from the latest quote and conversation, ready to edit and send
- Visit preparation and next steps without leaving the record

- Weekly sales set against the same period last year
- Quote margin flagged when a line has no recorded cost
- Figures taken from the ERP, not from manual reports
